Question 600: Command to Delete Calls for Particular Month

Question: What is the ToolBox Command to Delete Calls for a particular Month?

Version: Call Accounting Pro.

Answer: Here are the instructions for deleting call records for a particular month.  At the ToolBox Command Window type the following commands assuming that you wanted to delete all calls for the month of July.:

  1. CLOSE DATABASES
  2. SELECT A
  3. USE PLM_CA        (Or select a prior period file here)
  4. DELETE ALL FOR SUBSTR(DATE,1,2) = '07'
  5. PACK
  6. CLOSE DATABASES
  7. QUIT

If you were going to delete calls for the month of September, you would replace the '07' with '09' in the above example.

Answer: Here are the instructions for Exporting data from the station file or the current months call file.  At the ToolBox Command Window type the following commands:

COMMANDS TO EXPORT STATION FILE TO EXCEL

  1. CLOSE DATABASES
  2. SELECT A
  3. USE LINE1.DBF
  4. COPY TO EXPORT.XLS TYPE XLS
  5. CLOSE DATABASES
  6. QUIT

You can name the file anything you wish by replacing the EXPORT.XLS file name with another file name.

COMMANDS TO EXPORT STATION FILE TO LOTUS

  1. CLOSE DATABASES
  2. SELECT A
  3. USE LINE1.DBF
  4. COPY TO EXPORT.WK1 TYPE WK1
  5. CLOSE DATABASES
  6. QUIT

You can name the file anything you wish by replacing the EXPORT.WK1 file name with another file name.

Question 606: Modifying Report Layouts

Question: How do I edit Report Layouts

Version: Call Accounting Pro, Cable Management Pro., Call Accounting Jr.

Answer: All Comm One Reports can be edited by using the report generator features of the toolbox module.  Each report has the report file name listed on the bottom right hand corner of each report.  To modify the report, you simply issue the MODIFY REPORT command and select the report from the file selection box.  When you have completed editing the report, you type CTRL-W to save your changes.  CAUTION:  If you make incorrect changes to a report format, this may result in a system error when you try to run the report.  Be careful making changes to avoid this problem.

  1. CLOSE DATABASES
  2. MODFIY REPORT

            Edit the Report, Type CTRL-W when complete.

Question 607:  Deleting Specific Extensions

Question: How do I delete specific extensions from the User File (Station Administration) using ToolBox Commands

Version: Call Accounting Pro, Cable Management Pro.

Answer: Instead of using the standard menu options to delete extensions, you can use the toolbox Browse command to delete extensions.  This is usually much quicker than using the standard program prompts, and allows you to view all extensions on a single screen.  Commands to do this are as follows:

  1. Start the Toolbox Module and type the following commands:
  2. CLOSE DATABASES                        
  3. SELECT A
  4. USE LINE1.DBF
  5. SET ORDER TO 2
  6. BROWSE FIELDS extn,name,department

      While the browse is open, you will see your users sorted by extension number.  If there are any that you wish to delete, place your cursor to the left of the extension number and click the mouse.  You will see a small diamond appear if you are using the DOS toolbox, and you will see a black rectangle appear if you are using the Windows Toolbox.  This indicates that that station is marked for deletion.  To un-mark that station for deletion, simply click the same place again.   Once you have tagged all of the stations you wish to remove, press ESC to return to the Command prompt and type PACK.  This will remove the records marked for deletion.

Question 608:  Recosting Long Distance Calls

Question: How do I recost Long Distance Calls ?

Version: Call Accounting Pro

Answer: These commands allow you to re-cost your long distance calls using a ToolBox Command, and overwrite the costs assigned by Call Processing.  You can replace the rate shown with any rate you wish.

  1. Start the Toolbox Module and type the following commands:
  2. CLOSE DATABASES                        
  3. SELECT A
  4. USE PLM_CA.DBF
  5. REPLACE ALL PRICE WITH DUR * .07 FOR CALLTYPE = "LD"
  6. CLOSE DATABASES
  7. QUIT

Here is a description of what the fields in the replace command mean:

  • PRICE:  The price of the phone call shown on detail reports
  • DUR: The duration in minutes of the phone call
  • CALLTYPE: The field identifying what call type each call is.
  • "LD":  Identifier for Long Distance Calls.
  • PLM_CA.DBF: Your current months call file
  • .07:  The rate to apply against the long distance calls.

You can recost for other call types as well.  Here is a list of the CALLTYPE codes to use:

  • LD - Long Distance
  • LOC - Local Calls
  • INC - Incoming Calls
  • 800 - Toll Free Calls
  • INT - International Calls
  • IHC - In House Calls

EXAMPLE:  To re-cost all international calls at .40 per minute you would type:

  1. Start the Toolbox Module and type the following commands:
  2. CLOSE DATABASES                        
  3. SELECT A
  4. USE PLM_CA.DBF
  5. REPLACE ALL PRICE WITH DUR * .40 FOR CALLTYPE = "INT"
  6. CLOSE DATABASES
  7. QUIT

Answer: Here are the commands to browse the Station User File sorted by authorization code:

  1. CLOSE DATABASES
  2. SELECT A
  3. USE LINE1.DBF
  4. INDEX ON ACODE TO TEST
  5. GOTO TOP
  6. BROWSE FIELDS ACODE,NAME,EXTN,DEPARTMENT,HZIP,STATUS,TYPE

Press ESC when you are done editing.  You can also use the Ctrl-T to toggle delete a record.  If you mark records for deletion, be sure to run the REMOVE DELETED RECORDS option located under the main Call Accounting UTILITIES menu option.
