Answer: Here are the instructions for deleting call
records for a particular month. At the ToolBox Command Window type the following
commands assuming that you wanted to delete all calls for the month of July.:
CLOSE DATABASES
SELECT A
USE PLM_CA (Or select a prior period
file here)
DELETE ALL FOR SUBSTR(DATE,1,2) = '07'
PACK
CLOSE DATABASES
QUIT
If you were going to delete calls for the month of September, you would replace
the '07' with '09' in the above example.

Answer: All Comm One Reports can be edited by using
the report generator features of the toolbox module. Each report has the report file
name listed on the bottom right hand corner of each report. To modify the report,
you simply issue the MODIFY REPORT command and select the report from the file selection
box. When you have completed editing the report, you type CTRL-W to save your
changes. CAUTION: If you make incorrect changes to a report format, this may
result in a system error when you try to run the report. Be careful making changes
to avoid this problem.
Answer: Instead of using the standard menu options to
delete extensions, you can use the toolbox Browse command to delete extensions. This
is usually much quicker than using the standard program prompts, and allows you to view
all extensions on a single screen. Commands to do this are as follows:
Start the Toolbox Module and type the following commands:
CLOSE DATABASES
SELECT A
USE LINE1.DBF
SET ORDER TO 2
BROWSE FIELDS extn,name,department
While the browse is open, you will see your users
sorted by extension number. If there are any that you wish to delete, place your
cursor to the left of the extension number and click the mouse. You will see a small
diamond appear if you are using the DOS toolbox, and you will see a black rectangle appear
if you are using the Windows Toolbox. This indicates that that station is marked for
deletion. To un-mark that station for deletion, simply click the same place again.
Once you have tagged all of the stations you wish to remove, press ESC to return to
the Command prompt and type PACK. This will remove the records marked for deletion.
Answer: These commands allow you to re-cost your long
distance calls using a ToolBox Command, and overwrite the costs assigned by Call
Processing. You can replace the rate shown with any rate you wish.
Start the Toolbox Module and type the following commands:
CLOSE DATABASES
SELECT A
USE PLM_CA.DBF
REPLACE ALL PRICE WITH DUR * .07 FOR CALLTYPE = "LD"
CLOSE DATABASES
QUIT
Here is a description of what the fields in the replace command mean:
PRICE: The price of the phone call shown on detail reports
DUR: The duration in minutes of the phone call
CALLTYPE: The field identifying what call type each call is.
"LD": Identifier for Long Distance Calls.
PLM_CA.DBF: Your current months call file
.07: The rate to apply against the long distance calls.
You can recost for other call types as well. Here is a list of the
CALLTYPE codes to use:
LD - Long Distance
LOC - Local Calls
INC - Incoming Calls
800 - Toll Free Calls
INT - International Calls
IHC - In House Calls
EXAMPLE: To re-cost all international calls at .40 per minute you would
type:
Start the Toolbox Module and type the following commands:
CLOSE DATABASES
SELECT A
USE PLM_CA.DBF
REPLACE ALL PRICE WITH DUR * .40 FOR CALLTYPE = "INT"
Press ESC when you are done editing. You can also use the Ctrl-T to toggle
delete a record. If you mark records for deletion, be sure to run the REMOVE DELETED
RECORDS option located under the main Call Accounting UTILITIES menu option.
